Terms and Conditions

The completion of the existing booking form or any other inquiry made through our website doesn’t mean that you are entitled to pay the deposit, however, once you confirm your travel date and satisfy with our offerings, you will enter into our terms and conditions.

Booking Conditions

All holidays are subject to availability. When you make a booking with us you are making an offer to us to buy some of our advertised services. We reserve the right to refuse to accept and/or not to proceed with any booking at any time at our sole discretion. Once the contract is made between us we will use reasonable skill and care to perform our obligations to you in accordance with our Terms & Conditions.

All bookings must be made by a person aged eighteen years or over. Where your booking is for more than one person, the first-named person in your party aged eighteen years or over will be treated by us as the ‘lead name’ for your booking. The lead name will be responsible for making all payments due to us in accordance with our contract.

Completion and submission by you of our Booking Form will be treated by us as confirmation that you have read, understood, and accepted all our Terms & Conditions.

Madam Tours is an incorporated company under the laws of the Nepal Government and accepts your reservations under the following terms and conditions.

  1. You will be notified at the time of booking of the price of your holiday. You will be required at the time of booking to pay us a  deposit, typically 20% of the quoted holiday price, and the full holiday price of a booking should be made on your arrival (In Nepal) before the tour begins.
  2. We accept Traveller cheques, bank transfers, and credit or debit cards. You can either transfer to our authorized bank detail in Nepal or our contact office in Sweden. There are no fees for any payment method.
    You will be invoiced for the remainder of the cost, which is payable in Nepal before the tour departure.
  3. If your balance is not paid at the specified time (unless previously arranged with us in writing) we reserve the right to cancel your booking.
  4. If you cancel your booking before the payment is done, there will be no charges.  Should you cancel your booking after you have paid for the holiday partially or in full then the following charges are applicable?

→ 6 weeks before departure 0% (Everything refundable, except bank charges and the exchange rate difference)
→ 4-5 weeks before departure 80% of your deposit will be refundable ( except bank charges and the exchange rate difference)
→ 3 weeks before departure 60% of your deposit will be refundable ( except bank charges and the exchange rate difference)
→ 2 weeks before departure 40% of your deposit will be refundable ( except bank charges and the exchange rate difference)
→ 1 week before the departure 20% of your deposit will be refundable ( except bank charges and the exchange rate difference)

  1. Delays and Itinerary Changes; The passenger specifically agrees that Madam Tours shall not be held responsible for any delays or changes in itineraries caused by an act, omission, natural disaster, or any other circumstances on the part of domestic airlines or helicopter companies in Nepal.
  2. Responsibility; we reserve the right to refuse to continue to carry any passengers causing inconvenience or annoyance to other travelers, or creating difficulties that would hamper the smooth running of a trip.
  3. If a traveler is injured or becomes ill, all evacuation and hospital expenses, doctors’ fees, and repatriation costs are the traveler’s responsibility, and Madam Tours shall not be liable for any refund of the tour fare. It is the traveler to have valid passports and all visas and equipment that may be required on the selected tour. We do not accept responsibility for failure to obtain these visas for any reason and do not accept responsibility for any passports or documents left with us for this purpose.
  4. Changes or Cancellation by You (a) TransfersWhere you or any member of your party is prevented from traveling for any reason (including death, illness, or jury service) we will transfer your booking to any other person satisfying all the requirements relating to your holiday notified to us by you in writing a reasonable time (at least 1 week) prior to your due date of departure. (b) Other changesIf you wish to make any other change to your booking at any time after our booking confirmation has been issued, we will try but cannot promise to meet your request. On some occasions, if members of a group booking withdraw, there are fixed costs which means the remaining traveling party must pay more per person. We require your authority in writing before we can make any changes. In the event that any change is requested in relation to a group booking, we require the authority in writing of the lead name before we can make the change. (c) Treatment of changes by our suppliers Many of our suppliers, particularly airlines, helicopter companies, and safari operators, do not permit us to change names or travel dates and impose full cancellation charges. We will pass these on to you in addition to our administration charge, where applicable.
  5. Should we cancel your holiday, your deposit and any other payments made will be refunded in full which includes both bank changes and the exchange rate difference.
  6. We reserve the right to alter prices quoted on this website in the event of external factors beyond our control, e.g. changes in the exchange rate or government action, etc.
  7. The tour leader or local ground operator who represents Madam Tours has overriding authority on our tours. By signing our booking form, you agree to do this. If you commit any illegal act on a tour with us or if in the opinion of the tour leader or ground operator, your behavior is detrimental to the safety and welfare of the group as a whole you may be asked to leave the tour without any right to refund.
  8. Any complaints with regard to our tours must be immediately brought to the attention of the tour leader, ground operators or hotelier so that the necessary action to rectify the matter can be taken. However, if by the end of the tour, you still feel you have a valid complaint you must notify the company, in writing, within 7 days of the end of your tour.
  9. It is essential that you obtain suitable holiday insurance before joining one of our tours.
  10. You are responsible for ensuring all necessary travel documents are in order.
  11. The responsibility of any airline used is limited to the carriage of passengers and baggage in accordance with the conditions of their carriage.
  12. By confirming the itinerary that you will get in your email, you show your willingness to accept our terms and conditions. On accepting your booking we agree to carry out our obligations to you as defined on our web site.

Our holiday price does not normally include:

  • Visa fees, overseas airport departure charges payable locally, personal expenditures, & hotel extras.
  • Taxes or compulsory charges are introduced by Governments, regulatory bodies, or airlines after you have booked.
  • Security charges introduced or increased after you have booked relating to transportation costs.
  • Holiday insurance.

WHAT IS THE PURPOSE OF THIS PRIVACY POLICY?

At Madam Tours, we are very serious about protecting your privacy. Your trust is our most important asset. This privacy policy explains what personal data We may collect from you and why and what we will do with this data.

We will only process your personal data as set out in our privacy policy or otherwise notified to or agreed by you or as we are otherwise permitted to do in accordance with data protection laws.

Depending on what’s required, the personal data we collect may include names and contact details (such as telephone numbers, postal and e-mail addresses) It may also include information relating to any disability or medical condition which may affect travel arrangements and dietary restrictions which may disclose your religious beliefs. This sort of information is regarded as sensitive personal data. All references in this privacy notice to personal data include sensitive personal data unless otherwise stated.

Please do not provide your personal data to us if you are not happy for us to process this information in accordance with this privacy policy.

EXAMPLES OF WHEN AND HOW WE MAY COLLECT YOUR PERSONAL INFORMATION INCLUDE THE FOLLOWING:

  • If you order a brochure or newsletter we will ask for your name, address, and e-mail address. This is so we can effectively e-mail or post out the requested items.
  • If you submit a holiday inquiry form we will ask for your name, telephone number, and e-mail address. This is so we can effectively respond to your request.
  • If you enter a competition or promotion we will ask for your name, address, and e-mail address. This is so we can run the competition effectively and let you know if you have won or allow you to participate in the promotion. If we would like to use the personal data you have provided for any purpose in addition to the specific competition or promotion, we will make this clear and seek your specific consent to this.
  • If you want to make a booking with us, we will ask for the personal information of all persons traveling. This is likely to include the personal data set out above. This is required so that we can make and provide your holiday arrangements.
  • If you submit feedback to us, we will ask for your name and email address in order to effectively respond to your feedback.

IS THERE ANY OTHER PERSONAL INFORMATION YOU MAY COLLECT ABOUT ME?

In addition to asking you to submit personal data, we may collect information about you automatically when you visit our website. WHO WILL WE PROVIDE YOUR PERSONAL DATA TO?

Where you make a booking or booking inquiry, appropriate personal data will be passed on to the relevant suppliers (such as airlines, hotels, car hire companies etc) and any other third party (such as banks and/or credit card companies) who need this information so that your chosen arrangements can be booked and provided or your booking inquiry answered. Once your booking has been made, your personal data may also be provided to government / public authorities such as customs or immigration if required by them, or as required by law. Certain information may also be passed on to security or credit checking companies.

We only provide third parties with the personal data they require in order to deliver their services. Other than in relation to government / public authorities (over whom we have no control), we will take appropriate steps which are intended to ensure that anyone to whom we pass your personal data for any reason agrees to keep it secure, only uses it for the purpose of providing their services and does not collect any personal data from you in the course of performing their services.

WHERE WILL WE PROCESS YOUR PERSONAL DATA?

Your personal data may be stored, used, and otherwise processed within Nepal.

HOW LONG CAN WE RETAIN AND PROCESS YOUR PERSONAL DATA?

We will not keep and use your personal data in a form that enables you to be personally identified for any longer than is necessary in order to fulfill the purpose for which it was originally collected or for any other legitimate business purpose.

DO WE KEEP YOUR BANK DETAILS AND CREDIT CARD NUMBER?

No, We do not keep any of your bank details or credit card numbers, In case of deposit payment, we may ask you to deposit in our bank details, The bank we are using is the Government Bank of Nepal, They will handle your details and we will not request for any personal details from banks other than your name and the payment amount.

In case of depositing in Our International bank, we will be using third-party payment gateways like Paypal or Visa and they will be responsible for handling your data.

AT LAST,

We will only collect the following data from you in order to complete your booking, in some cases, we may ask for your passport number and the visa to Nepal.
